January 2012 Minutes

Orting Performing Arts Booster Club

Meeting Minutes for January 9, 2012.
Meeting was called to order at 7:03 pm.
Roll call: Sign in sheet passed.
Minutes for the meeting on December were approved.

Officer’s Report:
Treasurer: Money from Prince on counter at Melots. Oops.
* Motion/2nd/Passed by Board and approved by Members for a Discretionary fund for use by Aaron Ruff. ($500, cash, to be placed in lock box with receipt book, Aaron is required to provide a monthly report and this fund will be reviewed each fiscal year and adjusted as necessary.)

Committee Report: None.

Old Business:
* Percussion Rack was built ($50 from discretionary fund).
* Oboe purchase approved by board. Motion/2nd/Passed for $350 purchase of oboe approved by Members.
* Discussed possible Krispie Kreme fund raiser.

Upcoming Fund raisers:
* Tacoma Dome: Van Halen: May 5 (Leanne, Melanie, Andrea, Brenda, Michael, and Todd). Rammstein May 14 (Aaron).
* May, Cook and Clean. Ideas: Car Wash possibly on Train Street (kids washing cars) Burgers (hot dogs/burgers/drink/chips/cheese/condiments) cost based on 400 head count Aaron will price food from Camp Arnold.

New Business:
* Motion/2nd/Passed to purchase mallets. (bass mallets: 1 small/2medium/1 large $260)
* Jazz Band Competition: May 4 and 5, $210 Belvue HS (Hamlets to chaperon) Motion/2nd/Passed to cover registration fee.

Other discussions:
* Camp Arnold Band Retreat. March 23-25. Committees: Loading/Unloading Crew: Michael. Registration Table: Brenda and Chaperons: Brenda. Financial support requested from Boosters. Discussion about giving tip money from upcoming concert. Cost is estimated at $150 per person. Motion made and tabled until next meeting.
Announcements:
* April 14, Daffodil Parade Chaperons: HS- Todd, Leanne, Michael and Andrea; MS- Laura, Mindy or Ryan and Talents.
* March 15, 6th grade concert at 7pm
* May 12th, HS festival – Bethel -Brenda
* May 19th, MS festival - Beckie

Meeting Minutes for December 5, 2011.
Meeting was called to order at 7:02 pm.
Roll call: Sign in sheet passed.
Minutes for the meeting on Oct/Nov were approved.

Officer’s Report:
Treasurer:$5,912.59: balance in account. $65 from Basketball. Todd is attempting to clarify the bills we keep receiving from the Music store.

Committee Report: None.
* Motion/2nd/Passed: “Doing something as a fund raiser on Saturday, May 19.”

Old Business:
* Motion/2nd/Passed not to sell at the next basketball game. Amended Motion/ 2nd/Passed not to sell at basketball games at all this season.


Upcoming Fund raisers:
*Tacoma Dome: Jay-Z (Michael, Andrea, Kevin H, Trina, Aaron, Tanya,Todd and Brenda. Prince (Trina, Kevin H, Kevin S, Beckie, Tanya, Michael, Aaron and Melanie). Brad Paisley (Kevin H, Trina, Todd, Tudie, Kevin S, Aaron, Leanne, Michael, Andrea, and Melanie).


New Business:
* Possible CD's? Yes, but not sure when. :)
* Michael donated $25 to Valley Trophy for Band members t-shirt.

Other discussions:
* Dec 14, Concert (just band) at OHS at 7pm
* Aaron is still looking into festivals.. more info to come
* Camp Arnold Band Retreat. March 23-25. Looking for committees: Loading/Unloading Crew/ Registration Table (Brenda) and Chaperons.
* Aaron is looking to have a Percussion Cart built. Taking bids.
* $350 for Oboe (will be discussed at Board Meeting)
