December 12th Meeting Minutes



Orting Performing Arts Booster Club Monthly Meeting
December 12, 2016, Tuesday 7:00pm OHS Band Room

Facilitator:  Megan Depping, President
I.                  Call to Order at 7:08pm

II.                 Attendance: Roll was passed. Minutes from November meeting were passed out.

III.                Treasurer’s Report: 
a.            A new account has been opened at Key Bank as there are no Union Banks near us.
b.            We received $459 at the OHS Band Concert in Donations.
c.            Audit will be done on 12/14 to finish the complete transfer from Bret to Jennifer.
d.            The Xylophone that Geoff Smith was hoping to order last school year won’t be available until March. Jennifer will connect with Geoff to see alternative.

IV.              Unfinished/Open Business
a.            Fundraising ideas:
                                          i.    Tacoma Dome
1.    Jaylene will connect with Sarah to get us some dates to help out.
                                         ii.    Swing Dance
1.    Great idea, need someone to head this up.
2.    David will look into a band he has been playing with.
                                        iii.    South Hill perform/gift wrap.  (Russ)
1.    We are still on a waiting list. Jaylene will check to see when the sign-ups start so we can possibly pursue this next year.
                                       iv.    Spaghetti Feed
1.    David will contact Renee Polly regarding costs.
2.    Dates we looked at: 3/11 & 3/18
3.    Would love to have OMS Bands perform as well.
b.            Lock boxes have been given to both schools and installed at OMS.

V.               New Business:
a.            SnapRaise
                                          i.    Would like to do this the last week of January – first week of February.
                                         ii.    Have questions regarding prizes from last year.
                                        iii.    David & Jennifer will work with contact and report to next meeting.
b.            Middle School Band Concert Donations. Tabled until next meeting.
VI.              Director Time:
a.            Geoff Smith, OMS: Not present
b.            David Buroker, OHS: Gave information on Alumni Pep Band Night (12/16), He’d like to send six students to PLU Honor Band. He’ll use ASB funds for this ($110/student). Solo & Ensemble is February 6th.

VII.             Next Meeting:  January 10th @ 7pm in OMS band room.

Facilitator:  Megan Depping, President

I.             Call to Order 7:05 pm.

II.             Attendance:  Roll has been passed.  Please include your contact info.  We will not share your information.  Introduction of Board members. Reading and approval of Minutes motion by Trina, 2nd by Russ.  Passed unanimously.

III.           Treasurer’s Report:  Bret and Jennifer are in the transition process with the account and info.

IV.           Unfinished/Open Business
A.       Fundraising ideas: 
1.       PTTE mtg. discussed allowing OPABC back in to Tacoma Dome.  Contact Sarah Rosenlund.  Both Boards need to meet. Jennifer will get contact info.
2.       Swing Dance (ticketed).  Jazz band performs.  Need Committee.  Mary L’s Dad might have connections.
3.       Russ (Committee Head) will look into/follow up on South Hill perform/gift wrap.  Coordinate with Jaylene.  * Funds go to General Account.
4.       Possible gift wrap at concert.  Tabled until a later time.
5.       Spaghetti feed.  Silent Auction.  Possible date in Feb/March.  Dessert Rush/baked goods?  More discussion at December meeting.
6.       Buffalo Wild Wings Fundraiser.  Band Director Lead…
7.       Booth at City during Christmas Tree Lighting.  Hot Cocoa Stand. Donations/not charged?  *Mary L (Committee Head) will contact Becky Meek at the City.
B.      Motion made by Andrea to purchase xylophone for OMS for approximately $1600.00 instead of for the $1300.00 that was originally agreed upon.  2nd by Mary. Passed unanimously.

V.            New Business:
A.   Lock Box for money needed at OMS (OHS?).  $27.78 cost.  Jennifer will take care of.


VI.          Director Time:
A.       Geoffrey:  Concert, December 6th.  


B.      David: Concert, December 7th.    Trip to Spokane.  $3000 raised in fundraiser. (not OPABC)

VII.         Next Meeting:  December 13, 2016 @ 7pm in OHS band room.

VIII.        Adjournment:  Motion by Russ seconded by Trina.

I.             Call to Order 7:01pm.

II.             Attendance:  Roll has been passed.  Please include your contact info.  We will not share your information.

III.           Treasurer’s Report (Bret): Not present. Amount in account per Bret $6009.38. 

IV.           Unfinished/Open Business
A.       Nominations were received.  We had a brief meeting with the interested parties.

V.            New Business.
A.  Elections.   Ballots passed and all nominations were elected unanimously.
                1. President:  Megan Depping
                2. Vice President: Jaylene Petrovich
                3. Treasurer:  Jennifer Christiansen
                4. Secretary:  Tracy O’Leary
B.  Various Fundraising ideas discussed.
                1. Possible ideas:
                                a.  Swing dance. Sell tickets.  Dance instructor.
                                b.  Elisha Williams. Amway fundraiser. Phone number on sign in sheet.  
                                c.  South Hill Mall. Performance and gift wrap (holiday). Jaylene P. will look into and Russ H. will help when available.
                                d.  Spaghetti Feed.  Silent Auction (kid driven).
                2.  Michael encouraged reconnecting with the PTTE about Tacoma Dome.

VI.          Director Time:
A.       Geoffrey:  Jazz band will be starting before school practices. Wed. and Fri. @ 7am.

B.      David: (Not present but sent message via Geoffrey.)  Fundraising for 2018 San Francisco trip discussed.  More info to come.
               

VII.         Next Meeting: November 1, 2016 @ 7pm in OMS band room.

Executive Board Meeting with Directors May 9, 2016

Monday, 7:00pm
OHS Band Room
Facilitator:  Michael Melot, President

I.             Call to Order 7:02pm.

II.             Attendance:  Michael, Melanie, Bret and Andrea of Executive Board. Aaron, Geoffrey and David Buroker (new OHS Director)
III.           Treasurer’s Report (Bret): $9657.09. 

IV.           Unfinished/Open Business
A.       Directors have up to $2000 to spend for their band needs.  Aaron has spent approximately $800 and Geoffrey has spent about $500 of available funds.  David will weigh in with Aaron.

B.      Changing of the Guard… Band Directors will be holding a Parents Informational/Meet the New Leader meeting on June 15th. Hopefully get some parents interested.

V.            New Business.
A.  Discussed OMS purchasing band jackets and going through OPABC with funds.

VI.          Next meeting: TBD.
